You can track all your sales in one place and then use the information to help guide your picking & packing process.
Each Sales Order has 3 critical parts:
- Customer information
- Shipping information
- Items you're selling & pricing
Customer Information:
For each data point captured here, you can save it to the Customer record for later reuse.
- Each order is probably placed with you through a contact at the company, enter that here
- If you are shipping the product to the customer (vs. them picking it up), then you want to capture the delivery address
- In case you need to mail an invoice or put their mailing address on an invoice, capture the mailing address for your customer too
Order Information:
- Order Date: the date you have taken the order
- Pack Date: the date your team needs to pick and pack up the order
- Delivery Date: the date you expect the product to make it to the customer
- Shippers: The sequence of carriers the product will take to get to the customer.
- Some times this is just 1 carrier: your truck, that's fine.
- Other times, the product is taking multiple stops to get to the customer, you can configure that here. More on how to setup shippers here.
- Shipping Route: if you perform local deliveries, you might have multiple trucks, each hitting a different area you serve. Setting the data here will help you divvy up information from the orders for your truck drivers.
- Order Weight: Some shippers need to know how much is going on their truck, this helps you set this data up so it can used later.
- Air Bill Number: may be required if your product is flying on a plane somewhere.
Item Information:
- Select your item
- Enter the quantity
- When you are on the quantity field you can also quickly see how much you have on hand and how much has already been allocated to other open sales orders
- Select from the prices or set a new price - available types of prices:
- List Price
- Price Tiers
- Customer Prices
- Last Price used for that customer and that item
Once you have filled in all the item details, you can add any packing notes for your team.
Saving or Publishing a Sales Order:
At the top of the page of a new sales order you have two options: Save Draft or Publish Order.
- Save Draft: You'd want to do this if the order is incomplete and you don't want this data to hit the pack out feature yet (informing your team what to pack up for the customer)
- Publish Order: You captured the sales order and it's in the system, visible to others and can be packed up if it's time.
- Don't worry the sales order is still editable if you need to add or remove items.
