You can track all your sales in one place and then use the information to help guide your picking & packing process.
Each Sales Order has these critical parts:
- Customer information
- Shipping information
- Items you're selling & pricing
- Date it needs to get to the end customer (most typically ship date)
Customer Information:
For each data point captured here, you can save it to the Customer record for later reuse.
- Customer name
- A PO # if they provided one
- Contact (not required)
- Customer address (not required)
Order Information:
- Order Date: the date you have taken the order
- Ship Date: this is the date we recommend that you use to communicate to your team when the order needs to leave your facility
- Pack Date: the date your team needs to pick and pack up the order (optional)
- Delivery Date: the date you expect the product to make it to the customer (optiona)
- Shippers: The sequence of carriers the product will take to get to the customer.
- Some times this is just 1 carrier: your truck, that's fine.
- Other times, the product is taking multiple stops to get to the customer, you can configure that here. More on how to setup shippers here.
- It's OK to leave this blank if it's not important
- The Shipping Sequence is used on a Bill of Lading document that the system generates after the order has been packed.
- Shipping Route: if you perform local deliveries, you might have multiple trucks, each hitting a different area you serve. Setting the data here will help you divvy up information from the orders for your truck drivers.
- Order Weight: Some shippers need to know how much is going on their truck, this helps you set this data up so it can used later.
- Air Bill Number: may be required if your product is flying on a plane somewhere.
Item Information:
- Select your item
- Enter the quantity
- When you are on the quantity field you can also quickly see how much you have on hand and how much has already been allocated to other open sales orders
- The price may be auto-populated for you based on how you have your pricing configured, you can change the price by picking a different price or by typing in a price.
Notes & Attachments
Once you have filled in all the item details, you can add any packing notes for your team and you can upload any documents to store them on the sales order for future inquiries.
Saving or Publishing a Sales Order:
At the top of the page of a new sales order you have two options: Save Draft or Publish Order.
- Save Draft: You'd want to do this if the order is incomplete and you don't want this data to hit the pack out feature yet (informing your team what to pack up for the customer)
- Publish Order: You captured the sales order and it's in the system, visible to others and can be packed up if it's time.
- Don't worry the sales order is still editable if you need to add or remove items.
